The link in your Instagram bio, a campaign shared on WhatsApp, the email newsletter, an influencer's story. All of them send visitors. Yet in analytics a large share appears as "direct" or "referral", with no clear source.
UTM parameters are short tags added to the end of a link that tell your analytics tool where a visitor came from. They are free, take five minutes to learn and move budget decisions from guesswork to data.
The five parameters
- utm_source: where the traffic came from: instagram, google, newsletter, an influencer's name.
- utm_medium: the channel type: cpc (paid click), social, email, referral.
- utm_campaign: the campaign name: october-sale, new-collection-2026.
- utm_content: separates different creatives within one campaign: video-a, image-b, bio-link.
- utm_term: usually the keyword in search ads.

Which links need them?
The rule is simple: every link you control that is shared outside your site. Social posts and bio links, newsletters, WhatsApp and SMS campaigns, influencer and partner posts, QR codes and printed material.
If Google Ads uses auto-tagging (gclid) and your account is linked to Google Analytics, you may not need UTMs on Google ads. On Meta and other platforms, adding UTMs to ad links is the most reliable way to see the source clearly in analytics.
A campaign without UTMs is a purchase you paid for and then lost the receipt.
A naming convention your team will keep
Inconsistency is the enemy. "Instagram", "instagram" and "IG" appear as three separate sources and split your report. To prevent it:
- Always use lowercase. UTM values are case-sensitive.
- Use hyphens, not spaces. october-sale, not october sale.
- Avoid special characters. Some systems mangle them.
- Keep a dictionary. List allowed source and medium values in a shared sheet. Anyone adding a new value writes it there first.
- Use a builder. Generate links with a sheet formula or a UTM builder rather than typing them.
Mistakes that corrupt reports
- UTMs on internal links. Tagging a banner on your own site overwrites the visitor's real source. UTMs are for inbound links only.
- Losing UTMs in short links. If you use a link shortener, make sure you shorten the full tagged link.
- Forgetting old campaigns. Old links circulate for years. That is fine as long as the names stay meaningful.
Connecting the data to sales
Store UTM data in the CRM, not only in analytics. If hidden form fields write source, campaign and content into the lead record, then at month end you answer "which campaign brought how many sales" in revenue, not visits. The foundation is covered in what a CRM is.

Do UTM parameters hurt SEO?
Not on links shared off-site. Google generally treats UTM-tagged URLs as copies of the main page, and with a correct canonical tag there is no issue. Trouble starts with UTMs on internal links, which both corrupt analytics and create needless URL variations.
Where do I see UTM data in GA4?
In the acquisition reports, under session source/medium and session campaign. For the source that first brought a user, see the user acquisition report. For extras like utm_content you may need to add the dimension or build an exploration.
Why do links shared on WhatsApp show as direct?
Links opened from messaging apps often carry no referrer, so analytics counts them as direct traffic. Adding UTMs to links shared on WhatsApp, SMS and email is the only reliable way to make that traffic visible.
